Pickup evidence must be created at handoff: a pickup confirmation tap (Shopify's 'mark as picked up' with timestamp), ID or order-number verification logged, and for high-value orders a signature or photo. Local delivery needs the courier equivalent: GPS-stamped drop photo. The protocols cost seconds per order and convert 'we handed it to someone' into defensible proof.

Pickup protocol

Minimum: staff verifies order number + name against the pickup notification, then marks picked-up in Shopify at handoff — that timestamp is your baseline record.

Above ~$100: check photo ID against the order name and log 'ID verified' in the order note. Above ~$300: capture a signature (a POS signature line or even a clipboard scan attached to the order).

The not-received rebuttal then reads: 'Order picked up [timestamp]; identity verified against government ID; signature attached.' Without the protocol it reads: 'someone took it' — a loss.

Local delivery protocol

In-house or app-based couriers should produce what FedEx produces: a drop photo with GPS/timestamp (delivery apps do this natively; in-house drivers can use any timestamping camera app), plus no-contact vs handed-to notes.

Structure the photo habitually: door number visible, package in frame. 'Delivered' in a spreadsheet defends nothing; a geotagged photo at the customer's door defends everything.
