Descriptor optimization is the single cheapest lever to reduce chargebacks. Merchants routinely set their billing descriptor to their LLC name (e.g. "ACME COMMERCE LLC") while selling under a DBA (e.g. "Elegant Home"). Cardholder sees the LLC on their statement, doesn't recognize it, files a dispute. Aurai's book shows merchants who match descriptor to DBA reduce "transaction not recognized" disputes by 30–45%.
What descriptors are
The billing descriptor is the text that appears on the cardholder's credit card statement. Set at the processor level (Stripe, Braintree, etc.) and can differ per transaction on some processors.
Descriptor typically shows: `MERCHANT NAME CITY PHONE`. Sometimes truncated to 22 characters. Cardholder sees this and matches it to their memory of the purchase.
If the merchant name on the statement doesn't match the storefront brand the customer bought from, cardholder files a dispute — often under Mastercard 4863 or similar 'transaction not recognized' codes.
Formatting rules
Rules by processor:
Stripe: `statement_descriptor` up to 22 chars. `statement_descriptor_prefix` for the fixed prefix + suffix per transaction. All caps recommended for readability.
Braintree: `descriptor.name` up to 22 chars. `descriptor.phone` optional. Combined limit 25 chars.
Shopify Payments: Set in Shopify admin. Limited customization; usually shopname.myshopify.com or Shopify Payments default.
Adyen: `merchantAccount` name; `shopperStatement` per transaction.
Match your DBA to the descriptor
The descriptor should exactly match the brand name the customer sees at checkout. Not your legal entity. Not your parent company. The storefront brand.
Good: storefront is "Elegant Home" → descriptor "ELEGANT HOME"
Bad: storefront is "Elegant Home" → descriptor "ACME COMMERCE LLC" (the parent company's LLC)
Ugly: storefront is "Elegant Home" → descriptor "MERCHANT 12345" (a payment gateway default)
Aurai's book shows the "good" version reduces "I don't recognize this charge" disputes by 30–45%. Setup cost: ~5 minutes in your processor dashboard.
Include contact info
Descriptors can include a phone number or short URL. Include one.
Cardholder sees "ELEGANT HOME 555-123-4567" and can call before disputing. Some disputes turn into refunds instead — cheaper for you (avoid chargeback fee) and preserves your chargeback rate.
Stripe supports this via `statement_descriptor` (up to 22 chars total including phone). Some merchants use a dedicated support phone that's monitored by support staff.
