Seasonal support staff — dispute training

Every dispute was almost a support ticket. Seasonal staff decide which way those moments break — usually without knowing the stakes.

Support is the last exit before the bank: a ticket resolved is a dispute prevented, a ticket mishandled is a dispute plus an angry narrative. The seasonal one-pager: refund authority up to a threshold without escalation (speed beats process at refund-vs-dispute economics), the four phrases that de-escalate money anxiety, chargeback-threat protocol (resolve, don't dare), and documentation habits — because January's ticket notes are February's dispute evidence.

Refund authority

The math temps need burned in: a lost dispute costs the amount + $15 + rate damage; a refund costs the amount. Any ticket trending toward the bank is cheaper resolved NOW.

Give tier-1 staff standing authority to refund up to a threshold (say $75–100) without approval — the delay of 'let me check with my manager' is itself a dispute driver during peak, when managers are buried. Above the threshold: same-day escalation SLA, and the customer told a specific answer time. Money anxiety plus silence is the exact recipe for the dispute button.

The chargeback-threat protocol

'I'll just dispute it with my bank' is a fork, not an insult. Wrong answer: 'go ahead' (they will; you'll lose the fee regardless of merits). Right answer: 'Let's fix this right now so you don't have to' — then actually fix it in the same interaction.

De-escalation phrases that work on money anxiety: 'Your refund is processed as of now — here's the reference'; 'I can see exactly where your package is'; 'You're covered by our return window either way.' Certainty, immediacy, specifics. Vagueness ('should arrive soon', 'refunds take a while') feeds the anxiety that banks resolve with two taps.

Notes as evidence

Every interaction logged to the order: what the customer claimed, what was offered, what they accepted or refused. Ninety days later that thread is dispute evidence — a refused remedy defeats quality claims; a resolved complaint contradicts a later 'merchant unresponsive' narrative.

Template: '[date] cust reports [X]; offered [refund/replacement/return]; customer [accepted/declined]; ref [#].' Fifteen seconds per ticket. Aurai pulls those order-note threads into rebuttals automatically — seasonal staff write evidence without knowing it, which is exactly how it should work.

Frequently asked questions

Should support just refund anyone who threatens a chargeback?

Below your authority threshold, usually yes — the economics favor it decisively. Track threat-refund frequency per customer though; serial threateners graduate to the blocklist.

What support metric predicts disputes?

First-response time on money-related tickets. Refund and where-is-my-order tickets that sit 48+ hours convert to disputes at several times the rate of same-day responses.
