Overselling and cancellation chargebacks

An oversold order you cancel is a customer you charged for nothing. Refund it instantly and visibly, or their bank does it for you — with a $15 surcharge and a rate hit.

The chain: oversell → cancellation → refund delay (or refund invisibility) → [credit-not-processed dispute](/reason-codes/visa-13-6). The dispute is fully preventable at every link: inventory buffers prevent oversells, immediate refunds prevent the gap, and refund-confirmation emails with timelines prevent the customer's bank-statement panic. Flash sales and BFCM multiply oversell risk exactly when refund ops are slowest.

The chain

Oversell mechanics: concurrent checkouts, multi-channel inventory lag, or plain miscounts sell stock that doesn't exist. The cancellation follows — and the refund enters a queue.

Card refunds take 5–10 business days to show on statements even when issued instantly. The customer sees: charged, cancelled, no money back. Ten days of that (or worse — a refund your team hasn't issued yet) and their bank's dispute button beats your support inbox. The resulting 13.6 dispute on an already-owed refund is pure deadweight: you owe the money AND the $15 AND the rate impact.

Breaking each link

  1. Buffers: hold back safety stock on high-velocity SKUs (sell to 95% of true inventory); tighten multi-channel sync frequency during sale events.
  2. Instant refunds on cancellation: same action, same minute, no queue. A cancellation without a refund is a dispute timer.
  3. The refund-visibility email: 'Refunded [amount] today — appears on your statement in 5–10 business days, reference [id].' That sentence absorbs the statement lag that causes the dispute.
  4. If the dispute files anyway: the refund record wins — 13.6 with credit issued is a 90%+ evidence case, and Aurai auto-attaches refund transaction records to exactly these disputes.

Frequently asked questions

The customer disputed a charge I already refunded — what now?

Respond with the refund transaction record and date. Duplicate-credit disputes resolve strongly for merchants; the issuer can see the credit on their side.

How fast should cancellation refunds be issued?

Same minute as the cancellation, always. The statement takes 5–10 days regardless — starting the clock late is how disputes happen.
