September chargeback prep checklist for Q4

Q4 disputes arrive in December and January — but they're created in November, by configurations you either fixed in September or didn't.

The checklist: descriptor match, delivery-expectation copy, alert enrollment, review-queue capacity plan, carrier cutoff calendar, return-policy refresh, fraud-rule tuning, evidence-capture audit, dispute-notification routing, and a fight/fold policy written down. Every item is a 30-minute fix in September and a crisis in November. Volume multiplies whatever posture you enter with.

Why September

BFCM math: 3–5x order volume → 3–5x dispute volume, arriving on the 90-day tail through February. Every weakness scales with it: a descriptor mismatch worth 5 disputes/month in September is worth 25 in December; a review queue that takes 30 minutes daily takes 3 hours.

And fixes deployed during peak are fixes deployed badly. The window for calm configuration is now — October is for tuning, November is for executing.

The ten items

  1. [Descriptor](/blog/payment-descriptor-optimization) = storefront brand. Five minutes; kills the unrecognized-charge class.
  2. Delivery estimates at checkout — with holiday-realistic dates, updated as carrier cutoffs approach.
  3. [Alert enrollment](/blog/chargeback-alerts-shopify-setup) — takes weeks to activate; start now to be live for November.
  4. Review-queue capacity plan — who reviews flagged orders at 4x volume? Decide before the queue backs up.
  5. Carrier cutoff calendar — 'order by Dec 18 for Christmas' copy staged and dated.
  6. [Return policy](/blog/shopify-returns-policy-chargeback-defense) refresh — extended holiday windows, prominently displayed (that display is dispute evidence).
  7. Fraud-rule tuningFlow rules reviewed against this year's patterns, not last year's.
  8. Evidence-capture auditorder data, delivery confirmations, policy snapshots all flowing.
  9. Dispute-notification routing — alerts to a watched channel with a named owner and an SLA.
  10. Fight/fold policy written — thresholds decided calmly now, executed mechanically at volume.

Or compress items 3–10: Aurai automates detection, evidence, triage, and submission — installing it in September is the single largest line-item on this list.

Frequently asked questions

When do BFCM chargebacks actually arrive?

December through February — cardholders dispute up to 120 days post-charge. November's sales are Q1's dispute queue.

What's the single highest-ROI prep item?

Descriptor match if it's wrong (5 minutes, 30–45% of unrecognized-charge disputes). Otherwise alert enrollment — it has the longest activation lead time.

Post reflects public documentation, industry surveys, and Aurai's own book of disputes as of the publish date. Visa, Mastercard, American Express, Discover, Stripe, PayPal, and Shopify are trademarks of their respective owners; Aurai is independent and not endorsed by any of them. Network rules change — always verify current official rules before acting on any specific tactic.
